Badminton Scotland is the governing body for the sport in Scotland, based at 40 Bogmoor Place, Glasgow, G51 4TQ. Its role is to develop participation, memberships and performance, and accelerate the growth of the sport across the country.

We are partnering with Glasgow Chamber of Commerce and accredited training providers who will provide the successful candidate with wraparound support to ensure the development of transferable skills. This includes:

* Eight hours of 1to1 support on employability skills such as time management, teamwork and communication

* Eight hours of 1to1 progression support including career advice, CV preparation, mock interviews and a personalized progression plan

* Introductions to and training on a range of software packages including the Office365 suite (Word, Excel, Powerpoint, Outlook, Teams, Sharepoint) and Xero. This will be followed by regular mentorship to use these packages as a part of learning the processes of the role.

Job Summary

The Administrative Assistant will assist Badminton Scotland’s Head of Finance with administrative tasks relating to Finance, IT and HR processes. Additionally, the person will also support the CEO and Board with Administrative tasks.

The core hours of the position are 25 per week, being 5 hours per day, Monday to Friday. Badminton Scotland offer a blended working environment, meaning that although the role is office based there is the opportunity to work from home for part of the week. The schedule of office/home working will be agreed with the Head of Finance at final interview stage.

Badminton Scotland will provide the employee with a laptop and Office365 licence pre-installed. It is expected that the employee will have access to reliable stable internet to allow working from home.

Main tasks for this role include coding data in excel in preparation for importing into the accountancy package called Xero; entering supplier invoices into the accounting package; maintaining employee absence records; raising sales invoices in xero and then following up with customers about their outstanding invoices. An important element of this role is providing information to staff about monies received for the various events and activities that Badminton Scotland holds, enabling our events and activities to run smoothly.

Additionally, the role holder will be required to learn how to take meeting notes and minutes at Board meetings which are held every 3 months (full training and mentorship will be provided on best practice for this task). The Board meetings are in the evenings between 6pm and 10pm and currently held over Teams – the role holder will be required to attend these meetings as part of their regular working hours and will receive 1to1 support and mentorship on balancing flexible hours and work-life balance.

Maintaining the CEO’s diary and schedule in Microsoft Outlook is included in this role profile.

 

Essential skills, experience and qualifications

You will ideally have a good level of IT and keyboard skills, and adequate literacy skills to produce letters and emails, but you must also be willing to learn and develop these skills. Numeracy skills are essential for carrying out calculations and processing invoices. The ability to deal with customers, suppliers and colleagues respectfully is important, and you must also be able to maintain confidentiality as you may be handling personal information.
